Hotel Representative – Transport Services

Job Description

We are seeking a professional and customer-focused Hotel Representative to serve as the key liaison between our transport company and partnered hotels. The ideal candidate will be responsible for coordinating guest pickups, ensuring smooth transportation services, handling customer inquiries, and maintaining strong relationships with hotel staff to enhance service efficiency.

Key Responsibilities

1. Guest Coordination & Customer Service

  • Ensure timely and efficient pickups and drop-offs for hotel guests.
  • Assist guests with transport-related inquiries and special requests.
  • Maintain a professional and friendly presence at the hotel to provide excellent customer service.

2. Hotel & Transport Coordination

  • Communicate with front desk staff and concierge teams to manage transport schedules.
  • Monitor flight arrivals and departures to adjust transport schedules accordingly.
  • Handle last-minute changes, delays, or special transport requests from hotel guests.

3. Booking & Scheduling

  • Record transport reservations from hotel guests and ensure proper vehicle allocation.
  • Update and manage transport logs, ensuring all trips are accurately documented.
  • Coordinate with dispatchers and drivers to ensure smooth operations.

4. Issue Resolution & Quality Control

  • Address and resolve any transport-related guest complaints or concerns.
  • Conduct regular checks on transport service quality and ensure drivers maintain high service standards.
  • Report incidents, delays, or issues to the Transport Manager for resolution.

5. Relationship Management

  • Build and maintain strong relationships with hotel management and staff.
  • Gather feedback from hotel partners to improve transport services.
  • Represent the company professionally in all interactions with hotel personnel and guests.

Qualifications & Skills

  • Diploma or degree in Hospitality, Business Administration, or a related field.
  • 3+ years of experience in hospitality, customer service, or transport coordination.
  • Strong communication and interpersonal skills.
  • Ability to multitask and work in a fast-paced environment.
  • Proficiency in Microsoft Office (Word, Excel) and booking systems.
  • Fluent in English (additional languages are a plus).
  • Driver’s license is a plus.
